Visitor Services Associate

Part Time
Wednesday, 9 a.m. - 4 p.m.
Friday, 9 a.m. - 2 p.m.
 
Compensation: Based on skills and experience
 
Qualifications:
  • Essential: Proficiency in Microsoft Office: Word, Excel, Mail Merge, PowerPoint and Outlook
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks
  • Problem solving skills
  • Multi- tasking ability
  • Time management and organizational skills
  • Ability to work successfully with staff, volunteers, community partners and board members
Job Responsibilities:
  • Record donations and write thank you letters to donors
  • Monitor and record hours of volunteers
  • Maintain inventory, collate and distribute Commission promotional materials
  • Collect information and produce and file event reports
  • Assist with reception and visitor services, meet and greet the general public
  • Help maintain the exhibition: set up the Exhibit each morning and secure the Exhibit each evening
  • Secure cash donations at closing time.
  • Assist with informal tours of the exhibit to individuals and groups
  • Help facilitate tours by assisting and directing docents and tour groups
  • Assist staff with logistics for Commission programs
  • Train to become a docent for the Commission’s on-site exhibitions
  • Maintain logs and databases

Office Manager and Administrator

Part Time
Tuesday, Wednesday, Thursday, 9:30 a.m. - 4 p.m.
Friday, 9:30 a.m. -  2 p.m.

  • Flexibility and interpersonal skills necessary to work successfully with staff, volunteers, community partners and board members
Job Responsibilities:
  • Perform all financial functions
  • Record hours of part time staff and submit bi-weekly payroll
  • Schedule tours and volunteers with the assistance of the Education Coordinator
  • Answer phone calls
  • Interact with students, teachers, visitors, families, community groups, affiliated agencies and organizations
  • Handle logistics for programs on and off site
  • Organize and create agendas for staff meetings
  • Assist the Board Chair in planning and implementing meetings and events
  • Assist staff in planning and implementing programs and events on and off-site
  • Maintain facilities and identify and interact with service providers
  • Work with Executive Director to create budgets for programs and events
